Our name is our program! And with the Mobile Key from Hotelbird, things are gradually becoming particularly smart in our smart apartments! Guests can check in, check out and much more contactlessly via app. If you prefer not to use your smartphone for these services, you can use the self-service terminals.

Guests can check in directly to their room at our smart apartments locations without any waiting times. This is made possible by the Hotelbird app, which digitizes the entire communication process between reception and guests.

are automated. The smartphone becomes the hotel reception desk, unpleasant waiting times are shortened and the staff can respond more to the individual wishes of the visitor. Both long-stay and short-stay guests can now act more independently.
And everyone has a choice: whether traditional or modern service, the standard key card can be used in parallel with the digital key.

It is the service we offer that sets us apart. This is achieved through trained, friendly staff, which is complemented by digital features that enable 24/7 guest support. In addition to personal contact on site and by phone, Smartments also offers online chats, messenger services such as our WhatsApp chat, the website, apps and self-service kiosks. This means we can be reached in many ways to offer our guests a unique service experience
While guests are greeted at reception, complete and sign the registration form, deposit their credit card as a guarantee and receive their room key during traditional check-in, our digital processes take place before the guest arrives.
Bookings are made either via the mobile-first booking form or via email, app, chat or directly at the hotels, in person or at the kiosk. After booking, the guest receives automated notifications for pre-check-in or arrival and departure information. If there are any questions about the booking or the stay, we can be contacted via several channels. For example, questions are quickly answered via the help desk. If this is not enough, an automated inquiry can be opened. Around 200 inquiries are answered in writing and by telephone every day. Our service team is available daily from 8:00 to 20:30 during the week and from 12:00 to 20:30 on Saturdays and Sundays.
Payment is guaranteed in compliance with European payment guidelines. For guests, this means greater security for their data and less administrative work for employees. The aim for 2021 is to simplify and automate payment by invoice.
At pre-check-in, our guests receive an email so that they can manage their billing address, registration details and much more themselves. Our guests also receive access to our web app, where they can manage their reservation, view the hotel information folder and call up concierge tips. In addition to this online and mobile solution, we are of course also available in person.
Pre-check-in simplifies the arrival process for guests. They can choose whether they want to collect their key from reception and get advice, for example on restaurant recommendations. They can also program their key themselves at a kiosk or use their cell phone key to check into their room directly, while maintaining social distancing.
Reception and the Service Center team are available at all times during your stay. Routine tasks such as laundry or room cleaning can also be managed via app. For example, washing machines can be selected, reserved and paid for on the move.
How does an electronic door lock work?
It sounds like pure dreams of the future: there is no longer a visible locking mechanism in the door lock, which protects against break-ins. The entire system is controlled by the electronic lock, and functions such as the alarm system and other forms of security monitoring are also linked to it. This makes it possible to see exactly when the door was opened and by whom.
With the door lock with Smart Key, the locking mechanism still works mechanically, but access control is controlled electronically. The transponder and the receiver in the door lock communicate with each other via an encrypted wireless connection. Access authorization can be set in advance, even for a certain period of time, as will be the case in our apartments. Afterwards, these authorizations are simply deleted again.
With a retrofittable Bluetooth module in the door lock, Hotelbird enables the use of digital smartphone keys for the entrance and room door. Although many people still have concerns about the security of these innovative locks, the digital key is much more secure than the mechanical door lock. The electronic version cannot be easily manipulated, and unauthorized persons and burglars have virtually no chance.

Self-service terminals possible instead of smartphones
But not everyone wants to download an app on their smartphone and we understand that. In order to accommodate our guests and respect their wishes, we have started a test phase with self-service terminals together with Hotelbird. This terminal also generates contactless key cards for the room. It also accepts girocards and credit cards at check-out.
